You launched a Facebook or Instagram campaign, people are leaving their details… and those details sit somewhere in Ads Manager where nobody looks. Days later someone downloads them, makes a call, and the prospect doesn’t even remember filling out the form.
It’s one of the most common and most expensive mistakes in digital advertising. The good news is that it can be fixed.
Two ways to capture leads on Meta
| Instant form (lead ads) | Click-to-WhatsApp ad | |
|---|---|---|
| What the person does | Fills out a form without leaving Facebook or Instagram | Opens a WhatsApp conversation with you |
| Advantage | Very easy to fill out, you capture structured data | Immediate, more personal conversation |
| Risk | Data nobody checks in time | Messages nobody answers in time |
| Best for | Quotes, sign-ups, waiting lists | Consultative sales, appointments, quick questions |
Neither one is better on its own: what works is whichever has a response system behind it.
How to get your leads out of the form
- Download them manually. From Meta’s Leads Center you can download a file with the data. It works to get started, but it depends on someone doing it every day. Keep in mind that Meta only lets you download leads for a limited time (90 days from when the form was submitted, according to its help center), so you don’t want to leave them sitting there.
- Connect them to a spreadsheet. With integration tools, every new lead shows up automatically in a Google Sheet.
- Connect them straight to your CRM or WhatsApp. The ideal setup: the lead goes into your CRM on its own, gets assigned to a salesperson and receives a WhatsApp message within minutes.
Response speed is everything
Someone who just left their details is thinking about you right now. If you message them minutes later, their interest is still fresh; if you message them days later, you’re just one more item on their to-do list.
Organize them in stages
Once they’re in the CRM, each lead moves through the stages of your sale. That way you know how many came in, how many were contacted, how many booked and how many bought, and you can see which ads bring in the best prospects:
Each lead moves through the stages, and you know which ad it came from.

Mistakes that lose leads
- Checking leads once a week.
- Not tracking which ad each one came from, so you never know which campaign is working.
- Forms that are too easy and attract curious people with no real interest. Sometimes it pays to add a screening question.
- Calling without context. Remind the prospect what they asked for and why you’re reaching out.
- Not following up after the first attempt. Here are some ready-to-use follow-up messages.
How I can help
I run lead generation campaigns on Meta for small businesses all over Mexico, remotely, and I connect the leads directly to your WhatsApp and your CRM, so every prospect gets a reply within minutes and your team knows who to follow up with. That way every dollar of your ad spend makes it all the way through the process.
If you have campaigns with leads that are going unanswered, message me and we’ll fix it.
