WhatsApp Business or the WhatsApp API: which one your business needs and what drives the cost

The differences between the WhatsApp Business app and the WhatsApp API (WhatsApp Business Platform), when it makes sense to switch, how Meta charges for messages and what else you pay for to have a chatbot.

Almost every small business in Mexico serves its customers on WhatsApp. At first, the WhatsApp Business app on a phone is enough. But as messages grow, the questions start: do I need the API? How much does a chatbot cost? Can I have several people answering the same number?

Here I explain the differences in plain language.

The two options

How Meta charges on the API

Since July 2025, Meta charges for each template message delivered, and the price depends on the country and the message category:

The most important part for a small business: when the customer messages you first, a 24-hour window opens in which you can reply with regular messages at no cost from Meta, and utility templates within that window aren’t charged either. In other words, serving people who message you from an ad or your profile is very cheap; what you mainly pay for are the messages you initiate, such as campaigns or reminders outside that window.

Exact rates by country change over time; Meta publishes them on its official WhatsApp Business Platform pricing page.

How much does a WhatsApp chatbot cost?

The total cost of a chatbot depends on three parts:

  1. The messages Meta charges for, based on how many template messages you send and in which category.
  2. The platform where the chatbot lives (ManyChat, a CRM with WhatsApp or another tool), which usually charges a monthly subscription based on contacts or features.
  3. The setup: designing the flows, connecting your ads and your CRM, writing the messages and testing everything. This is the part that makes the chatbot work well or feel like a robot that gets in the way.

That’s why two quotes can be very different: a greeting message is not the same as a system that qualifies leads, books appointments and follows up.

This is what a well-configured chatbot looks like

When it makes sense to switch to the API

If you get few messages and handle them well from your phone, the free app is still a great option.

How I can help

I set up the WhatsApp API, chatbots and CRMs for small businesses across Mexico, working online: together we choose the platform that fits your volume, I design the conversation flows, connect your ads and leave the follow-up up and running. If you want to start with the basics, here I explain how to automate your business WhatsApp and how to follow up with your leads.

Message me and let’s figure out which of the two options your business needs.
